Provision of accountants’ reference within 2 working days in order to secure rented premises.
1.2
IMPORTANT:
We will send the certified reference to you and/or your landlord or letting agent by electronic means from our secure server. If you and/or your landlord or letting agent require a ‘wet’ signature please let us know before we take payment for the services.
2.
The Contract
2.1
When you ("you", or the "User") use the service described in this Service Description you enter into a legally binding agreement with Crunch governed by the Crunch Terms of Service (which are expressly incorporated into this Contract with you) together with these Special Terms where they vary or add to the Terms. References to capitalised terms used in this document shall have the same meaning and effect as those defined in the Terms unless expressly stated otherwise.
2.2
Unless we agree with you in writing that your individual terms and conditions are somehow different from the ones outlined in this document or the Terms, you are bound by this document and the Terms when using the Service.
3.
Accepting the Terms
3.1
You must accept these Special Terms and the Terms (“together the “Terms”), and you may not use the Services if you do not accept the Terms.
3.2
There are two ways to accept the Terms:
3.2.1
By accepting the Terms when Crunch makes this available to you (i.e. when activating the Services); or
3.2.2
By using the Services in any capacity
4.
Charges and Payment
4.1
Standard reference - charges will apply if subscribed to the Crunch Basic Service and where the service does not form part of a Crunch Packaged Service allowance.
4.2
Express reference - charges will apply if subscribed to any of the Crunch Basic and Packaged services.
4.3
The Service will commence once payment has been made.
4.4
Payment can be made through secure payment links that will be sent to you via email
5.
Services provided by Crunch and our responsibilities
5.1
Standard lettings references - Crunch Accounting Ltd (‘Crunch’) will provide you with the letting reference within 5 working days after you have completed and provided the information listed in section 6 of these terms, and payment has been taken.
5.2
Express lettings references - Crunch Accounting Ltd (‘Crunch’) will provide you with the letting reference within 2 working days after you have completed and provided the information listed in section 6 of these terms, and payment has been taken.
5.3
We will agree a draft of the reference, and have it approved by you, before it is certified by us and returned to you or your Lettings agent or Landlord.
5.4
We will send the certified reference to you and/or your landlord or letting agent by electronic means from our secure server. If you and/or your landlord or letting agent require a ‘wet’ signature please let us know before we take payment for the services.
5.5
If you need us to produce your Year End accounts alongside your lettings reference, we’ll aim to do both in accordance with our service level agreement with you. Please check your main terms of service for this information.
5.6
We cannot provide any comments in your reference about your company’s financial performance, financial projections or trends. All of our references contain important caveats about the limits to the scope of our work to complete your reference which cannot be altered or removed.
5.7
The information we provide in your references is correct to the best of our belief based on information taken from your Crunch account. It is not audited and is provided without acceptance by Crunch Accounting Ltd of any responsibility whatsoever. Consequently, any use you, or any other party, wish to make of the information is entirely at your own risk.
6.
Your responsibilities and provision of information by you
6.1
Before we start work on your reference, your Letting Agent or Landlord must specify in writing exactly what type of information is required, which Director(s) and/or Shareholder(s) the reference is for and which provider the reference should be addressed to, including their full name and contact details, before we commence work on your reference. We are unable to complete online reference forms, if this is required your Letting Agent/Landlord will need to provide a PDF version.
6.2
If your Lettings agent or Landlord wishes to contact us directly, we will only commence work on the reference when you have paid for our services. You must provide us with permission to send the reference directly to your Lettings agent or Landlord.
6.3
You must make sure your Crunch account is up to date and all bank accounts are reconciled to date before payment is made.
6.4
You must provide the following information:
6.4.1
A copy of your company bank statement(s) showing the balance at the reconciled date. This can be a scan of your last paper statement or a screenshot from your company’s online bank account.
6.4.2
Tell us the period that the reference needs to cover and if you require us to produce your Year End accounts alongside your lettings reference (please refer to section 5.4 of this Service Description).
6.4.3
Provide us with a written request from our Lettings Agent/Landlord, taking into account details provided in section 6.1.
6.4.4
Let us know if a wet signature is required.
6.4.5
Let us know if additional documents (such as copies of payslips and tax returns) need to be provided with your Lettings reference.
6.5
You are responsible for ensuring the information you provide to Crunch is correct. Failure to do this may lead to inaccurate references that Crunch can’t be held responsible for.
6.6
The information that we prepare can only be as good as the information on which it is based. Insofar as that information is provided by you, or by third parties with your permission, your responsibility arises as soon as possible if any circumstances or facts alter, as any alteration may have a significant impact on the advice given. If the circumstances change therefore or your needs alter, advise us of the alteration as soon as possible in writing.
7.
Cancellation
7.1
Cancellation by you
The request for a lettings reference can be cancelled at any time. No refund will be given.
7.2
Cancellation by Crunch
Crunch reserves the right to cancel the service at any time. We will discuss the reasons for cancellation before the service is terminated. A full refund will be provided to you should Crunch decide to cancel the service.
